What a good Contracts Administrator actually does (and why it matters)
A CA’s role is to administer the building contract fairly and consistently, from contract award through to final account, so that decisions are clear, timely and defensible.
· Keeping control of change: ensuring variations are instructed correctly, priced transparently, and logged properly.
· Protecting cashflow: robust valuations, proper certification, and clear supporting records to avoid end-game surprises.
· Managing time risk early: spotting slippage, ensuring notices are handled correctly, and supporting sensible mitigation before positions harden.
· Staying impartial: balancing the Employer’s interests with fair administration of the contract, critical for trust and for reducing claims.
· Maintaining the evidence trail: accurate records, correspondence control and clear reporting for governance, audit and decision-making.
When should you appoint a Contracts Administrator?
Typically, a CA (or Employer’s Agent under Design & Build) is appointed once the contract is in place, however, bringing a CA in pre-contract can remove risk before it becomes contractual “fact”. We often support clients early to ensure the contract set-up is right: scope clarity, procedures, responsibilities and a practical approach to administering the job day-to-day.
